Kheir’s mission is to increase and provide access to culturally and linguistically-sensitive quality primary healthcare and human services support to the underserved and uninsured residents of Southern California.

ASSIGNMENT SUMMARY

The Director of Operations will be responsible for optimizing the effectiveness of the organization through continuous refinement of the infrastructure and work processes. The Director of Operations is responsible for overseeing supporting the daily operations of our clinics and adult day health care centers, by ensuring efficient service delivery, maintaining high-quality standards, and supporting organizational growth. This role supports the Chief Clinical Officer and collaborates closely with clinical and administrative teams to implement policies, optimize processes, implement strategies, and foster a positive work environment.

  • Manage Support the day-to-day operations of clinics and adult day health centers to meet organizational goals for quality, efficiency, and patient satisfaction.
  • Supervise department managers and staff, promoting a team-oriented culture that emphasizes high performance, professional development, and staff engagement.
  • Utilize performance metrics and financial data to evaluate operational effectiveness, identify areas for improvement, and implement corrective actions.
  • Leads the performance management process that measures and evaluates progress against goals for the organization.
  • Participates in the development and preparation of short-term and long-range plans and budgets based on broad organization goals and objectives. Recommends their adoption to the Chief Clinical Officer.
  • Assist in developing and refining operational policies, procedures, and workflows to enhance efficiency and reduce costs.
  • Implement a data system to monitor specialty care hub referrals and IPA specialty referrals, ensuring compliance and oversight.
  • Engage with Independent Physician Associations (IPAs) and health plans to secure specialty referrals for patients in need of follow-up care. Develop agreements as necessary for these services.
  • In collaboration with the Director of Information Systems and Billing, Interface with the Chief Information Officer or Electronic Medical Records contractors to develop or modify electronic medical record templates EHR workflow and related processes. Work with the Billing Department to ensure the proper capture of procedure codes and encounter billings (Medi-Cal, HMO, PPO, Sliding Fee, etc.).
  • Support initiatives aimed at improving patient experience and community engagement, working in partnership with clinical leaders.
  • Ensure the clinic facilities are well-maintained, safe, and welcoming; coordinate repairs and upgrades as needed.
  • Ensure operations adhere to all applicable local, state, and federal laws and regulations.
  • Prepare regular reports on operational performance for the leadership team & facilitate effective communication across departments.
  • Contribute to planning efforts related to facility expansion, service line development, and organizational growth.
  • Work closely with clinical leadership, IT, HR, and other departments to support organizational objectives and initiatives.
  • Support training programs and professional development opportunities for staff to build capacity and improve service quality.
  • Develop plans for new areas of technology along with sufficient planning for areas that support the mission of the clinic within Operations.

MINIMUM QUALIFICATIONS

  • B.A., Masters in Health Administration or equivalent
  • Minimum of 5-7 years of experience in healthcare operations, clinic management, or related fields.
  • Working knowledge of California patient and individual privacy laws and regulations.
  • Clear, concise and persuasive writing and presentation skills using information systems, databases, Excel, PowerPoint and Microsoft Word.
  • Enjoy working as a member of a cohesive team and is effective at doing so.
  • Ability to make meaningful observations and write comprehensive and accurate reports.
  • Self-starter who is comfortable making key decisions and holding others accountable for compliance standards.
  • Ability to translate/provide cogent advice to senior management regarding the impact of emerging industry trends in compliance enforcement, legislation and regulations on affiliate business strategies.
  • Must understand and lead by communicating vision, exhibiting decisiveness, sponsoring change and supporting the larger organization success.
  • Must exhibit a credible leadership presence, with the ability to respond to questions with logic, clarity, calmness and authority, leading to desired support of/actions by others.
  • Proven leadership skills in a healthcare compliance environment.
  • Ability to work well with others to ensure the highest ethical standards.

OTHER SKILLS AND ABILITIES

  • Familiarity with operational, financial, quality improvement, and human resources procedures and regulations is required.
  • Excellent interpersonal skills; ability to develop important relationships with key stakeholders.
  • Good conflict management and negotiation skills.
  • Ability to analyze complex issues to develop relevant and realistic plans, programs and recommendations.
