About This Role
Front Desk Coordinator | Client Concierge | Sanctuary Guide
We’re seeking a warm, organized, and reliable Front Desk/Client Experience Coordinator to be the first and lasting impression of our sanctuary. This role transcends a typical front desk position—it’s about creating a peaceful, supportive rhythm for every client, embodying GoBeyond’s vision of compassionate care.
Your Schedule:
- Monday, Wednesday & Friday: 8:50 AM – 6:00 PM
- Tuesday & Thursday: 9:50 AM – 7:00 PM
Must-Have Qualifications
To be considered for this role, you must meet the following requirements:
- At least one year of experience in a client-facing customer service role (hospitality, wellness, healthcare, or luxury service preferred)
- Excellent communication skills, professional, warm, and service-oriented in person, over the phone, and via email
- Highly organized with strong attention to detail, able to orchestrate multiple appointments, schedules, and client interactions with grace
- Comfortable thriving in a high-touch, client-focused environment, not a back-office role
- Tech-savvy and adaptable, with experience in scheduling software or CRM tools (e.g., Weave, AestheticsPro) a plus
Key Responsibilities
- Welcome clients with warmth, setting a calm, inviting tone
- Coordinate appointments and orchestrate treatment flow for clients and providers
- Respond to calls, texts, and emails with professionalism and care
- Nurture an organized front desk, overseeing supplies, records, and digital systems
- Embody GoBeyond’s self-care vision with a renewing, centered presence
What You’ll Do
Create a Grounded First Impression
- Welcome every client with warmth, presence, and poise
- Set a calming tone through every interaction, aligned with our sanctuary setting
- Cultivate a peaceful, harmonious front area that reflects our aesthetic
Manage Scheduling & Flow
- Guide clients through check-in/check-out with care
- Coordinate provider schedules and treatment flow with empathy
- Handle confirmations, cancellations, and rescheduling with clarity
Support Communication
- Respond promptly to calls, emails, and text inquiries
- Offer guidance before and after visits with clear, reassuring communication
- Share treatment and membership options when relevant—never with pressure
Oversee Front Desk Operations
- Handle payments with grace, ensuring a seamless client experience
- Keep supplies, records, and digital systems organized
- Support client progress by updating accounts and ensuring accurate records
