ATA Services, Inc. is currently seeking to hire an experienced Medical Office Clerk to work a temporary position in Albuquerque. The selected candidate will be covering 2 Public Health office within the Albuquerque and Los Lunas area.

  • Pay Rate: $18.50 - $24.75 Depending on experience
  • Start Date: ASAP
  • End Date: December 19, 2025
  • Schedule: Monday - Friday 8am to 5pm
  • Classification: Full Time - 40 hour per week
  • Locations: Albuquerque Metro PHO & Los Lunas PHO

The selected candidate would be a "floating" staff member that would be asked to cover Public Health Office locations within the Albuquerque Metro Area as well as Los Lunas.

The Medical Office Support Clerk provides a wide range of administrative, clerical, and support services essential to the efficient and effective operation of a medical office or healthcare-related organization. This position involves both routine office duties and more complex administrative tasks, requiring a broad knowledge of office practices, policies, and procedures. The Clerk is responsible for ensuring smooth office operations while supporting patient services and healthcare staff.

Administrative and Clerical Duties:

  • Perform general office functions including filing, typing, proofreading, data entry, and document preparation.
  • Maintain, create, and update various record-keeping systems, both physical and electronic.
  • Operate standard office equipment (copiers, scanners, fax machines, etc.).
  • Process incoming and outgoing mail and handle the distribution of internal documents.

Customer Service and Public Interaction:

  • Greet and assist visitors, patients, and staff courteously and professionally.
  • Answer and route incoming phone calls, take messages, and respond to inquiries.
  • Assist the public in locating and accessing scanned, filmed, or archived documents and information.
  • Provide assistance with completing applications and forms, ensuring accuracy and completeness.

Scheduling and Coordination:

  • Maintain calendars and schedules for staff, meetings, and appointments.
  • Coordinate logistics for training sessions, internal meetings, and facility use.
  • Support the organization of special events and daily office activities.

Document and Information Management:

  • Review, sort, and distribute incoming memos, reports, and submissions.
  • Ensure that all records and documentation are processed, stored, and retrieved in compliance with applicable privacy, security, and regulatory standards.
  • Assist in implementing records retention and archiving systems.

Supply and Equipment Management:

  • Monitor inventory levels and ensure availability of office supplies and materials.
  • Order, receive, inspect, and store office equipment and supplies.
  • Coordinate repairs and maintenance for office equipment.

Policy and Program Support:

  • Participate in the development and implementation of administrative policies and procedures.
  • Support program planning, evaluation, and goal-setting activities.
  • Maintain compliance with federal, state, and local regulations, including confidentiality and health information privacy laws (e.g., HIPAA).

Operational Oversight:

  • Coordinate and oversee centralized office functions that serve multiple departments.
  • Support property management and information systems operations.
  • Contribute to overall office efficiency by ensuring effective workflows, proper documentation, and high-quality service delivery.

Training and Supervision Support:

  • Assist in the onboarding and training of new staff and vendors.
  • Provide guidance on office procedures and systems.
  • Help ensure all office staff are equipped with necessary tools and information to perform their duties effectively.

Security and Safety Compliance:

  • Monitor access to the office to ensure a safe and secure working environment.
  • Support emergency response procedures and ensure adherence to safety protocols.

Qualifications and Expectations:

  • Strong organizational and communication skills.
  • Ability to manage multiple priorities with accuracy and attention to detail.
  • Proficiency in office software and information systems.
  • Familiarity with healthcare-related documentation and procedures is preferred.
  • Discretion and professionalism in handling sensitive or confidential information.
