Job Title: Program Assistant Summary: The Facilities department is responsible for overseeing the management of all physical spaces, including offices, meeting rooms, common areas, and external grounds. By ensuring that every aspect of the physical infrastructure is in optimal condition, the Facilities Department plays a crucial role in the daily operations and overall success of the organization. Description: Position Information: Department: Behavioral Health Integration Work Arrangement: Full Office Work Schedule: Monday through Friday, 7:00 a.m. - 3:30 p.m. Duties & Responsibilities: 95% - Program Support Participates in a mission-driven culture of high-quality performance, with a member focus on customer service, consistency, dignity and accountability. Assists the team in carrying out department responsibilities and collaborates with others to support short- and long-term goals/priorities for the department. Provides support to staff, including preparing meeting materials, maintaining minutes, routing documents, conducting data entry and handling incoming and outgoing correspondence per administrative policy. Provides administrative support for specific and/or ongoing department projects, such as generating reports, logs, calendars and mailings while applying general business practices as well as CalOptima Health policies and procedures. Serves as support for the Sr Manager II's and staff; may follow up on the progress of projects and activities. Coordinates work with other administrative staff and assists in coordinating staff efforts within the department. Maintains confidential and sensitive information and files regarding management projects, policy and personnel, ensuring appropriate follow up. Utilizes enterprise software to prepare presentations, edit documents, bookmark documents and track data as directed. Conducts data entry in support of data collection activities. Collects data, identifies pertinent information and assists with preparing reports and presentations. Prepares reports with accuracy of data, including the application of standardized analysis and assists in the timely production of reports. 5% - Other Completes other projects and duties as assigned. Minimum Qualifications: High school diploma or equivalent PLUS 1 year of experience in a previous administrative support role required; an equivalent combination of education and experience sufficient to successfully perform the essential duties of the position such as those listed above may also be qualifying. Preferred Qualifications: Associate's degree in health care, public health, behavioral health or related field. Health care experience. Experience in Microsoft Project, Access, Publisher, Visio and Adobe Acrobat.
